How do I submit my paper?
Submit your paper through AIVTA 2026 on EDAS. Review the requirements on the Submission page first.
What are the key dates and deadlines?
Full paper submission: October 8, 2026; acceptance notification: November 8; registration deadline: November 11; conference dates: November 13-15; camera-ready deadline: November 20, 2026.
What is the publication venue?
All accepted papers will be published in the Conference Proceedings with possible EI/Scopus indexing. Please see the Publication page for full details.
Do you accept review or survey papers?
Yes, systematic reviews are welcome — provided they state an explicit search and selection method and reach critical conclusions of their own. Submit under the closest of the eight tracks, and email adv@aivta.org before submitting so the Program Committee can assign the right reviewers. Purely descriptive literature summaries with no stated methodology are not a good fit.
What language should my paper be written in?
The main text must be written in English, with an English abstract of 150-250 words and 4-6 English keywords. A Chinese title, abstract and keywords are not required at the initial EDAS submission, but are required with the camera-ready version.
How many pages can my paper have?
Registration covers a 4-page paper. You may submit up to 8 pages in total; each page beyond page 4 is charged at 55 USD / 400 CNY, so an 8-page paper costs 4 extra pages on top of the registration fee.
What are the registration fees?
Regular: 545 USD / 3800 CNY; Early Bird: 400 USD / 2800 CNY (until September 30, 2026); Student: 270 USD / 1900 CNY. See the Registration page for full details.
Who is eligible for the student registration fee?
Domestic students can enjoy the student rate by presenting the CHSI Online Verification Report of Student Status (学信网《教育部学籍在线验证报告》); international students may provide equivalent proof of enrollment. Students with a school-issued poverty certificate are exempt from the registration fee.
How do I register for the conference?
Follow the instructions on the Registration page and complete your payment before the registration deadline (November 11, 2026). For assistance, email adv@aivta.org.
Can outstanding papers be recommended to SCI/SSCI journals?
Yes. The Program Committee will identify exceptional papers during the review process and invite authors to submit extended versions to partner SCI/SSCI journals.
Does the conference have Best Paper Awards?
Yes — six awards: Best Paper Award (1), Best Student Paper Award (1 first prize + 2 second prizes), Outstanding Paper Award (1 per track, 8 in total), Best Presentation Award (1 oral + 1 poster), Student Travel Grant (10 recipients) and Outstanding Advisor Award. Awards are determined solely by review and presentation scores. Eligibility and recognition are listed on the For Students page.
Must I attend in person, or can I present online?
Accepted authors who cannot travel to Hefei may apply to present online. In-person attendance is encouraged, but an approved online presentation counts as fulfilling the presentation requirement — your paper is still published in the proceedings and stays eligible for awards. Apply by email to adv@aivta.org before the author registration deadline (November 11, 2026), quoting your EDAS paper ID and the reason; the committee will confirm the online session arrangements in advance.
Is presenting required for my paper to be published?
Every accepted paper must be presented — on site or online — and at least one author must register and pay by November 11, 2026. If you cannot attend or present at all, contact the Organizing Committee in advance: with prior approval your paper is still published in the proceedings and the printed copy will be mailed to you. Papers that are neither presented nor covered by prior approval may not be included in the proceedings or submitted for indexing.
What must I do after acceptance, and by when?
Four steps: (1) by November 11, 2026, at least one author registers and pays; (2) on November 13-15, 2026, present on site or online; (3) by November 20, 2026, submit your camera-ready paper — author names restored, passing the IEEE PDF eXpress check — together with the IEEE copyright form; (4) after the conference, the committee submits the proceedings to IEEE. How long after the conference will my paper be published and indexed?
The proceedings are submitted to IEEE after the conference: inclusion in IEEE Xplore normally follows within 2-4 months, and EI Compendex / Scopus indexing normally follows within 3-6 months after that. Inclusion and indexing are decided by IEEE and the databases respectively, so we state them as possible rather than guaranteed.
Is visa support available?
Yes, invitation letters for visa applications can be provided to registered attendees upon request.
